Setup and Operation of V2C Payments
V2C Payments is V2C’s free platform for charging for the use of your chargers. It is included with every V2C charger and comes fully preconfigured: no banking paperwork. Set up your tariffs once and receive your income in your account every month.
It is ideal for businesses such as restaurants, hotels or offices that want their customers to pay for charging their car, and for residential buildings with a shared meter in the garage.
There are two different roles: promoter and user.
Go to the desktop version of V2C Cloud
To set up V2C Payments, you need to use the desktop version of V2C Cloud in your computer’s browser. That is where you create your tariffs, locations, users and groups, and enable payments on your chargers.
Promoter
Before you start
To use V2C Payments you need two things:
- A V2C Cloud account. Sign up for the V2C Cloud app, from the desktop version or from the app.
- Your chargers connected to the Internet. It is important to check that the charger is always connected to a network (Wi-Fi or Ethernet). In the main menu, go to e-Chargers and check the State column: it should say Online.
IMPORTANT: When you sign up, you will receive a confirmation email. You need to verify your registration to finish creating your account. If you don’t, you won’t be able to access the platform.
1Complete your billing profile
The first time you open V2C Payments you will see the Complete your profile notice. Click Activate V2C Payments and fill in your Billing data:
- Name or company name and ID number.
- Billing email.
- IBAN of the account where you want to receive the income from all charges.
- Address, postal code and country.
Accept the terms of use and click Save. These details will appear on every monthly invoice. You can change them at any time from Invoices.
2Check your transactions
In V2C Payments › Transactions you have the monthly summary:
- Total revenue (month), Number of charges and Total energy (kWh).
- Revenue and charges over time, by week, month or year.
- Charge status: completed, cancelled and in progress.
Further down, Recent transactions lists every charge. You can search by charger, choose a date range (Select range) and filter by channel: app, payment without app, POS, external or collective charging. Export report downloads the list.
- App
- The user starts the charge from the V2C app.
- Payment without app
- The user starts the charge from their phone’s browser, by scanning the charger’s QR code or opening the payment link, without downloading the V2C app.
- POS
- The user pays by card or phone at the V2C payment terminal (POS).
- External
- The charge is started from a third-party app, website or map. Your charger appears in them if you make it public (step 7).
- Collective charging
- Charges by residents in shared garages with a single meter for everyone (step 10).
Click a transaction to see its details: the user, the channel, the tariff applied, the payment type and the amount calculation (energy cost, parking, total paid by the user, V2C fee and total you receive).
3Create your tariffs
You need at least one tariff for the payment system to work, and that tariff must cover all 7 days of the week, 24 hours a day. You can do this step before or after activating the charger, and change your tariffs as often as you need.
Go to V2C Payments › Tariffs and click Create new tariff. The wizard has two steps and a final estimate:
- Identity. Enter the Tariff name, which you will use to identify it when assigning it to your chargers and groups, and, if you like, a description. Click the arrow to continue. Users don’t see the tariff name: before starting the charge, they see the price per kWh and, if there is one, the parking price.
- Periods. Define when and how much is charged:
- Days. All days are selected by default. Deselect the ones you want to price separately and set them up in a new day configuration; for example, the weekend.
- Hours. Drag the ends of the bar to set each period and add another period for the next time slot. You can create as many periods as you like, as long as together they cover the 24 hours of the day.
- Price. SIMPLE PRICING charges for energy (€/kWh). ADVANCED PRICING adds a fixed price per hour of charger use (€/kWh + €/h). The maximum prices are €1.50/kWh and €4/h.
- Parking (optional). Turn on Do you want to add a parking tariff? and enter the price per minute. It is charged if the car is still plugged in 5 minutes after charging ends (the first 5 minutes are free), up to €10 per transaction.
- Estimate. To the right of each period you will see what the user pays, the V2C fee (5%) and what you receive: 95% of each charge. Click Create tariff, or Save draft to finish it later.
IMPORTANT: Occupancy time cost (parking mode). If you set up an occupancy tariff (a cost for the time the car stays parked after charging ends), please note that this tariff will not be applied to transactions made through the POS (card payments directly at the terminal).
Occupancy time is only managed and billed when the user pays through the V2C app or with payment without app.
- Monday to Friday
- €0.20/kWh until 12:00 and €0.35/kWh the rest of the day
- Saturday and Sunday
- €0.45/kWh + €0.05/min parking
Create as many tariffs as you need: for example, a free one for employees, free mornings or a tariff for visitors. You can then assign each one to a group of people (step 6). You can edit or delete each tariff from its card.
Which tariff applies when V2C doesn’t know who is charging? For charges where V2C cannot identify the user, the charger’s default tariff always applies (step 6). This happens with POS payments and with charges from the External channel (third-party apps, websites or maps). Keep this in mind when choosing each charger’s default tariff.
Sharing the charger free of charge. If the promoter wants to share the charger without charging anything, they should create a zero-cost tariff (€0/kWh) and assign it to the charger or to the group of authorised people (step 6).
4Activate V2C Payments on your chargers
You can activate V2C Payments on a charger from the web portal or from the V2C app. Setup (tariffs, locations, users and groups) is always done from the web portal.
From the web portal
V2C Payments › e-Chargers lists all the chargers in your V2C Cloud account. To start charging on one:
- Turn on its switch.
- Choose the Tariff.
- Choose the Payment type:
- Instant payment. When the charge starts, the maximum amount it could cost is held on the customer’s card. It is calculated as if the charge were the highest possible: the charger at its maximum current for the whole charging time selected. When the charge ends, only the actual amount is charged and the rest is released. How long it takes for that amount to become available to the customer again depends on their bank, and V2C is not responsible for it. If the charge is under €5, the customer also pays a fixed fee of €0.30, which goes to V2C and covers the operating cost of the payment gateway.
- Monthly payment. All charges made during the month are charged to the card selected by the customer at the end of the month. If the payment cannot be taken from the card at that time, the transactions are marked as unpaid and V2C will retry the payment later.
Minimum amount of €0.50 for both payment types. With instant payment, if a charge costs more than €0 and less than €0.50, €0.50 is charged: for example, a €0.20 charge is charged as €0.50. With monthly payment, the monthly total is what counts: if all the charges in the month add up to more than €0 and less than €0.50, €0.50 is charged. Charges of €0 remain free.
- Choose the charger’s Location. If you don’t have one yet, create it.
As a promoter, you will receive the total amount of each month’s charges in a single transfer within the first 5 days of the following month, regardless of whether users pay instantly or through an accumulated monthly charge.
The charger must be connected. Please note that V2C issues an invoice at the end of the month and charges a single 5% fee.
From the app (V2C Cloud, smartphone version)
Create the tariff in the web portal first. Then, in the app:
Deactivate V2C Payments
To deactivate it, turn off the charger’s switch in e-Chargers.
NOTE FOR PROMOTERS: features such as V2C Payments, RFID and similar ones should only be active when you need them. Otherwise, turn them off for optimal performance.
5Create the charger’s location
Every charger with V2C Payments needs a location. To create one, go to V2C Payments › Locations and add a new location:
- Search for the address or click on the map: the fields are filled in automatically.
- Check the name, address, city, postal code, country and time zone.
- Click Create.
Then select it on the charger (step 4). Inside each location, the Chargers tab shows how many e-Chargers it has.
6Users, groups and tariffs by group
The same charger can have several active tariffs and apply one or another depending on who is charging. For example: free for your employees and a tariff for visitors.
When you expand a charger in e-Chargers, you will see Tariffs by group. There is always a default tariff, which applies to anyone who doesn’t belong to a group (Users without group) and to charges where the user is unknown: POS and the External channel.
Create users and groups
- In the main menu, go to Users.
- Click New User, enter their email and, if you like, assign them to a group straight away. When you add users to your groups, they will be able to see your name and email.
- Click New group, give it a name (for example, “Employees”), an optional description and a colour, and click Create group.
- Inside the group, use Link user to group to add each person.
Assign a tariff to each group
- Go back to e-Chargers and expand the charger.
- Click Assign tariff and group and choose the group, the tariff for its members and the payment type.
- Repeat for as many groups as you like.
If someone belongs to several groups, the first matching tariff applies. Drag the rows to change the priority; the default tariff cannot be moved.
If there is at least one tariff for a specific group, you can turn off the default tariff: the charger will show that users without a group have no access, and only groups with an assigned tariff will be able to use it.
Sharing the charger with no fees. Create a €0/kWh tariff and assign it to the group of authorised people, for example your employees.
7Decide whether the charger is public
In Access and location, next to each charger’s tariffs by group, you choose who can find it:
- Private (default): the charger doesn’t appear in third-party apps or maps.
- Public: the charger appears in third-party apps and maps, so that any electric car driver, even one who doesn’t use V2C Cloud, can find it and charge.
Choose Public only if you want to open your charger to any driver. The platform will ask you to confirm.
Remember: drivers who charge from third-party apps or maps always pay the charger’s default tariff, because V2C doesn’t know who they are (step 6). Before making it public, check that this is the tariff you want to charge them.
8QR code and payment link without app
Make charging easier for your users from e-Chargers:
- QR code. Click the charger’s QR code button: a PDF opens with the instructions for use and the QR codes. Print it and place it next to the charger, especially if it is on a public street.
- Link. The link button (Generate link) creates a direct link to the payment page without app. Share it with your users so they can start charging without downloading the V2C app. It is an alternative to the instructions PDF.
9Invoices and billing data
In V2C Payments › Invoices you have your Issued invoices. Each invoice is monthly and shows the total amount of that month’s charges, the V2C fee (5%) and your income. You can view them and download them as PDF.
The eye icon in the SEPA ID column shows the reference of the bank transfer with which V2C pays you the income from all of a month’s charges. You receive this transfer within the first 5 days of the following month: for example, the income from October’s charges reaches you between 1 and 5 November.
Remember that you will receive the total amount of all the month’s charges in a single transfer, whether users pay instantly or through an accumulated monthly charge.
Your Billing data is at the top. Click Edit to change it and then Save.
10Collective charging
Designed above all for property managers: residential buildings with a single meter in the garage for everyone, without individual meters, which is very common in new buildings.
It works independently from the rest of your V2C Payments chargers and has its own tariffs.
- Go to V2C Payments › Collective charging, e-Chargers for collective charging tab.
- Turn on the charger’s switch and choose its tariff.
- A Code to share the e-Charger is generated. Click Copy and send it to the person who will co-own the charger and pay for its charges.
- That person opens the link and signs in to their V2C Cloud account. From the V2C app they will be able to lock and unlock the charger, schedule charges and check their consumption statistics.
Collective charging tariffs
In the Collective charging tariffs tab, create the tariff as in step 3: a price per kWh for each period (maximum €1.50/kWh). You can also add a fixed Monthly fee charged to each user regardless of the charges they make (maximum €100; enter 0 if it doesn’t apply).
User
Any user can connect to a V2C charger quickly and easily. There are three ways to start charging:
Step by step: charge your vehicle with the V2C app
If you are a user, first download the V2C app and create an account. Once your account is created, follow these steps:
* The e-Charger’s QR code or ID (S/N) is on a silver sticker next to each connector. The app saves the last 3 chargers you have used, so if you are going to use one of them, you don’t need to scan the code or enter it manually again. Just select the charger in the “Payments” section.
Charge without downloading the app
Scan the QR code for charging without app on the charger’s instructions PDF, or open the link the promoter has sent you, and follow the steps on the payment page.
Charge your vehicle with POS
You can also charge easily by paying at the POS terminal.
